Digital consignment notes: signing, scanning and emailing automatically

Have the sender sign on the phone when loading and the consignee when unloading, or scan the paper consignment note. The customer gets it in his mailbox by itself, and you see whether it arrived.

AVC or CMR, determined automatically

  • AVC: for domestic transport.
  • CMR: for international transport.
  • Numbered: automatically, per consignment note.
  • PDF: with all boxes filled in from the order.

Signing at loading and unloading

  • On the screen: with name, time and GPS.
  • Carrier's signature: filled in automatically.
  • In the browser: signing is possible at the office too.

Not to be changed unnoticed

The content and signature are recorded with a check code and a log. That way a signed consignment note cannot be changed unnoticed.

Scanning a paper consignment note

If it is signed on paper after all, the driver scans the consignment note with his phone's document scanner. The edges are recognised and straightened, and the result is added to the order as a PDF.

Automatically to the customer

  • Set per customer: email after loading, after unloading or both.
  • Mail status: sent, delivered, opened or not arrived.
  • Week zip: with the consignment notes of the week with the invoice email.
  • Freight portal: customers download consignment notes themselves, if you offer that.

Archive per day

All digital and scanned consignment notes and photos are in the archive per day, with a count of what has been kept digitally and scanned.

Digital consignment note and e-CMR

For international transport there is the e-CMR protocol, and within the Benelux a pilot with the e-CMR is running in which only recognised suppliers take part. That pilot has been extended until 8 July 2027 (source: NIWO). If you carry goods under that scheme, agree with your customer which form he expects. With VYS TMS you at least have a digitally signed consignment note as a PDF with a check code and a log, and you can always scan a paper consignment note and link it.

Questions about digital consignment notes

Can the customer download the consignment note himself?

Yes, through the freight portal, if you switch that on for him. The consignment note can also be emailed automatically.

What if it is signed on paper after all?

Then the driver scans the consignment note with his phone and it is added to the order as a PDF.

Can I see whether the email with the consignment note arrived?

Yes, per consignment note you see whether the email was sent, delivered, opened or did not arrive.

Is this the same as the e-CMR from the Benelux pilot?

Only recognised suppliers take part in that pilot. Agree with your customer which form he expects. Feel free to get in touch if you have questions about this.
